Resident participation is at the heart of this non-profit organization. To continue working with this community, residents and property managers need to know that our services efficiently serve the different populations of people that live in this community.

Over the past year, the events at the community center have an average resident participation rate of 38%. The management office has made note of this decrease and would like to see a minimum participation rate of 45% (50% or more being ideal).
Resident surveys have shown that they’d like to see more recreational activities as well as vendors catered to health and wellness in lieu of legal and welfare services. Residents polled said that they’d be more likely to attend events in the late afternoon versus the morning or early afternoon. 20% of residents polled said that they were unaware certain events were happening. Shifting event times, using the resident email database, and offering incentives while catering to residents’ needs and requests will help us meet our goal participation rate of 45% (or more).

Objectives

1. Acquire all residents’ emails from property manager (Heather) and approval to send notifications
2. Survey residents about specific types of events they’d be interested in attending for the next 12 months
3. Set dates for standard holiday events (Halloween, Thanksgiving, Independence Day, Juneteenth)
4. Using resident feedback, set dates for other events (back to school drive, harvest festival, national donut day, summer pool party)
5. Create monthly calendars for upcoming season
6. Contact partnering vendors about donations and volunteers for specific events (ie. craft store for holiday decor, department stores for school supplies, local church/community center for Juneteenth)
7. Gather materials for advertising event (flyers, posters)
8. Mass email residents with upcoming month’s calendars

August 1: Objectives 4-5 (special focus on back to school and harvest festival)
* Vendors should be contacted at least 4 weeks prior to scheduled event.
* Next month’s calendars are due 3 weeks prior to the start of that month (ie. November calendar are due at the end of the first week of October).
* Next month’s calendars should be sent/distributed to residents 2 weeks prior to the start of that month.
* Event flyers should be posted and distributed at least 2 weeks prior to that event.

Strategy

* Distribute email survey link to all residents ASAP and ask residents for feedback in person when you see them
* Set upcoming holiday events occurring the next 3 months
* Ask most actively participating residents for feedback on calendars and events when you see them
* Contact partnering peoples and vendors first
* Contact a minimum of 8 vendors a week for volunteers and/or donations
* Contact a minimum of 5 community centers for volunteers and/or donations
* Spend no more than $50.00 a week for necessary supplies
* Contact volunteers for each event 1 week prior to confirm their attendance
* Communicate with each other about dates, vendors, donations at least twice a week
* Don’t be afraid to ask for help with your assigned tasks!
