Use your Outlook desktop signature on any device, even mobile

Do you want to use the same email signature everywhere you sign in to Outlook? While Microsoft plans to roll out "roaming signatures" to all devices soon, the only versions of Outlook that can sync signatures are Outlook.com and the Outlook for Windows app in "New Outlook" mode. While it's not yet possible to sync your signature from the Outlook desktop app to the mobile app, we've found fast workarounds that make it easy to use the same signature across devices!

About Syncing Outlook Signatures

  • Signatures created at Outlook.com and in "New Outlook" for Windows are automatically synced and available in both apps.
  • Signatures won't sync to the mobile app or Outlook for Mac yet, but they will in the future.
  • Use our handy shortcuts to use the same Outlook signature on multiple devices without the hassle of retyping.

Can I sync my Outlook signature to other devices?

If you switch to the "New Outlook" experience in the desktop app for Windows, signatures you create will be synced to the cloud and available at Outlook.com and other instances of the New Outlook experience. [1] Similarly, signatures you create using Outlook.com in your browser will sync to the New Outlook desktop app.
    • Unfortunately, it's not possible to automatically sync signatures to the Outlook mobile app or Outlook for Mac, even using New Outlook and Outlook.com.
    • In the future, Microsoft plans to launch signatures , a feature that syncs Outlook signatures across all devices. [2]

Use Your Outlook.com Signature on Mobile

  1. Sign in to https://www.outlook.com on your Android, iPhone, or iPad. You'll need to use your mobile web browser to do this, not the Outlook mobile app. If you've already created a signature in Outlook.com on your computer, phone, or tablet, you can easily copy it from the web and insert it into the Outlook mobile app .
    • This is the only way to sync your Outlook signature to the mobile Outlook app.
    • After you tap Sign in , the website will try to get you to use the Outlook mobile app instead. Tap Continue to Outlook sign-in to make sure you're logging in through your browser and not the mobile app.
  2. Once you're signed in, you'll need to display your inbox as though you're viewing it on a computer . Otherwise, there's no way to see your email signature.
    • Chrome: Tap the three dots and select Request Desktop Site .
    • Safari: Tap the aA icon and select Request Desktop Website .
    • Samsung Internet: Tap the three-line menu and select Desktop site .
  3. It's directly to the right of the magnifying glass icon. Since you're viewing the site's desktop version, you might have to swipe left with your finger to see it.
  4. It's near the bottom of the menu.
  5. If you don't see a menu on the left side of the screen, tap the back arrow at the top-left to expand it, then tap Compose and Reply .
  6. Any signatures you've created using Outlook.com or Outlook for Windows in "New Outlook" mode will be available to select from the drop-down menu.
  7. To do this, double-tap any of the words in the signature to bring up the selection bars, then drag the bars on either end of the selected word until the entire signature is highlighted. Once completely highlighted, tap Copy .
  8. When you open the Outlook mobile app, you'll see your profile photo (or a gray placeholder) at the page's top-left corner.
  9. This is near the middle of the men under the "Mail" header. Now you'll see your current mobile signature, which you can replace with the copied one.
  10. Tap in the box, then delete anything that's there. To paste the copied signature, tap and hold the box and select Paste . You'll now see your Outlook.com signature in the field.
    • Your signature saves instantly—you can now tap the back button and start using your new signature.
    • Since there's no signature syncing for the Outlook mobile apps, if you change your Outlook.com signature, the changes will not sync to the mobile app. You'll also need to make those same changes in the mobile app signature.

Sync with New Outlook for Windows

  1. If you want to use Outlook's new roaming signature feature in Outlook for Windows, you'll need to switch to the new version of Outlook. To do this, click the switch next to "Try the new Outlook" at the top of the Outlook window, then click Switch .
    • When using New Outlook, you can select and use any signatures you've created using Outlook.com or New Outlook on other devices.
    • You can also create signatures in New Outlook that automatically sync to the cloud.
    • For now, these signatures will not sync to the mobile app or Outlook for Mac.
  2. It's in the bar that runs along the top of the Outlook window.
  3. Your email account preferences will expand.
  4. You'll see any existing signatures you've created with New Outlook and/or Outlook.com.
    • Click + New signature .
    • Type a name for your signature.
    • Design your signature in the large box.
    • Choose your preferences, such as setting it as your default signature or adding it to replies/forwards.
    • Your signature and preferences will sync automatically to Outlook.com and other instances of New Outlook.

Use Your Outlook Signature on Another Computer

  1. If you want to use the same Outlook signature from your desktop installation on another computer, you'll need to copy and paste it into a new signature. The easiest way to do this is to send yourself an email from the computer with the correct signature, open that email on the new computer, and then copy that signature into a new signature file.
    • Sending yourself an email will give you a nice clear copy of your signature without any extra characters that's easy to copy and paste.
  2. To make sure your signature is included in the email, click the Insert tab, select Signature , and choose your signature.
    • Address the email to yourself. You don't have to include a subject line or a body if you don't want to.
  3. On the computer that doesn't have the signature yet, open the Outlook application and click the new message from yourself—you'll see the message and signature in the preview pane.
  4. To do so, highlight the entire signature with your mouse, then press Ctrl + C (Windows) or Cmd + C (Mac) to copy.
  5. Here's how:
    • Windows: Click the File menu, select Options , then click Mail in the left column.
    • Mac: Click the Outlook menu and select Preferences… .
  6. On Windows, you'll see this under "Compose messages" in the right panel. On a Mac, it's the icon with a pencil and a sheet of paper. [3]
  7. If multiple accounts are signed in to Outlook, select the account to which you want to connect the signature.
  8. If you're using Windows, click New . On a Mac, click + . Give the new signature a name similar to the name you used for your old signature, and click OK .
  9. To do this, click in the edit box and press Ctrl + V (Windows) or Cmd + V (Mac).
    • You can now make any changes you need to the signature before saving.
    • Any links and photos you copied should copy exactly as they appeared in the original signature, but you might have to make minor adjustments.
  10. The signature from your other computer is now added to this computer.
